Hilltop Sports reserves the right to interpret and apply these policies at its sole discretion. In the event of discrepancies between posted policies and in-store communication, the latter shall prevail.

Return Policy

At Hilltop Sports, we are committed to offering quality products and excellent service. If you are not fully satisfied with your purchase, we’re here to help.

Return Eligibility

  • Returns must be initiated within 30 calendar days of receiving your item.

  • To be eligible for return, the item must be:
    ​

    • Unused and/ or in like-new condition

    • Returned in its original packaging, with all tags, accessories, and documentation

    • Accompanied by a receipt or valid proof of purchase

 

Returns made without a receipt may be denied or refunded as in-store credit, at the discretion of Hilltop Sports.

If a return is sent by mail, please allow 7–14 business days for processing after we receive and inspect the item.

 

Note: If your purchase included a discount or promotional offer, you will only be refunded for the amount paid at the time of purchase, not the item’s original or full retail price.

Non-Returnable Items

Certain items are not eligible for return under any circumstances:

  • Firearms and ammunition

  • Items that are damaged, modified, or not in their original condition

  • Sale or clearance items

  • Gift cards

  • Custom-made or personalized items (unless received damaged or defective)

 

How to Initiate a Return

To initiate a return:

  1. Visit our store or contact our customer service team to begin the process.

  2. Provide your receipt or order confirmation.

  3. Repack the item securely, ideally in the original packaging.

  • Mailing and physical address

  • Social Security Number (full or partial, as required by law)

  • PIN numbers and passwords, when customers are required to enter them directly on secure in-store systems
     

This information is collected when legally required, especially during background checks, ATF Form 4473 submissions, NFA item purchases, and other regulated transactions.

We do not collect biometric or personal identification data for marketing or resale purposes.

  • All sensitive information is stored securely using encryption, access restrictions, and physical safeguards

  • Any biometric data (e.g., fingerprints, facial images) is retained only for as long as necessary to fulfill legal or regulatory requirements and is securely deleted thereafter

  • PINs and passwords entered by customers on store terminals are not stored or recorded by Hilltop Sports


We partner with compliant third-party service providers, including point-of-sale and governmental background check systems, that meet or exceed industry standards for data security.

 

Disclosure of Information

We do not sell or share your personal or biometric information with third parties, except as required by:
 

  • Federal or state law

  • Law enforcement or government agency requests

  • Compliance audits related to our Federal Firearms License (FFL)

Special (Custom) Order Policy

Special Order Policy

At Hilltop Sports & Hilltop Arms, we’re proud to offer special order services to help customers access items that are not part of our regular inventory. Whether you're ordering a specific firearm, accessory, or custom product, our goal is to ensure a smooth and transparent process.

​

Down Payment Requirement

All special orders require a non-refundable deposit of 10% of the total order value at the time the order is placed. This deposit secures the item and covers the administrative and processing costs involved in ordering, handling, and reserving the product on your behalf.

 

Payment & Pickup Terms

  • The remaining balance is due in full upon item arrival and prior to transfer or shipment.

  • Items must be picked up and paid in full within 7 calendar days of notification of arrival.

  • Hilltop Sports & Hilltop Arms is not responsible for delays caused by manufacturers, distributors, or shipping carriers; however, we will communicate estimated timelines to the best of our ability.

 

Cancellations & Defaults

  • All special orders are final. Cancellations are not accepted once the order has been placed with a distributor or manufacturer.

  • The 10% deposit is non-refundable, even in the event of cancellation or customer non-responsiveness.

  • Failure to complete payment or pick up the item within the required 7-day window will be considered a default.

    • In the event of default, the item may be returned to general inventory or reallocated.

    • The customer forfeits the deposit and any claim to the item.

    • Additional restocking or cancellation fees may apply depending on the item or supplier terms.

 

Exceptions

If a special order item arrives damaged or defective, we will work directly with the manufacturer or distributor to resolve the issue. In such cases, replacement or warranty resolution will be handled in accordance with the manufacturer’s policies.

 

Non-Returnable Items

Special order items are not eligible for return or exchange, unless otherwise guaranteed in writing at the time of order. This includes, but is not limited to:
 

  • Custom or personalized items

  • Firearms and NFA-regulated products

  • Non-stock optics, accessories, and serialized components

Firearms Transfer & Purchase Eligibility Policy

Firearms Transfer & Eligibility Policy

At Hilltop Sports & Hilltop Arms, we are a licensed Federal Firearms License (FFL) holder and comply fully with all federal, state, and local laws governing the sale and transfer of firearms. This policy outlines the requirements and procedures for both purchasing firearms from us and receiving firearm transfers through our store.

Firearms Purchase Eligibility

To purchase a firearm in-store, you must meet the following legal requirements:
 

  • Be at least 18 years old to purchase a long gun (rifle or shotgun)

  • Be at least 21 years old to purchase a handgun or any lower receiver

  • Possess valid, government-issued photo identification

  • Successfully complete a background check as required by the National Instant Criminal Background Check System (NICS), unless a qualifying exemption applies (e.g., valid CPL in Michigan)


Buyers are solely responsible for knowing and complying with their own state and local laws regarding firearm ownership, transportation, and storage.

 

Firearms Transfers (Incoming FFL Transfers)

We accept FFL transfers from other dealers on behalf of customers. To ensure a smooth and legal transfer, please review the following requirements:

 

Transfer Requirements:

  • Transfers must be sent from another licensed FFL dealer; we do not accept private-party shipments.

  • You must provide advance notice of the incoming transfer, including your full name, contact info, and the item(s) being sent.

  • A valid government-issued photo ID must be presented at the time of pickup.

  • You must complete a 4473 Form and pass a NICS background check before any firearm will be released.

 

Transfer Fees:

  • A standard transfer fee applies to all incoming firearms. Please contact us for current rates.

  • NFA items may incur additional administrative or storage fees.

 

Storage & Unclaimed Transfers:

  • Firearms must be picked up within 14 days of arrival, unless otherwise agreed in writing.

  • Firearms left beyond this window may be subject to storage fees or returned to sender at your expense.

  • Hilltop Sports & Hilltop Arms is not responsible for transfer items left unclaimed beyond 30 days.

Important Notes

  • We reserve the right to refuse any firearm transfer or sale at our discretion if it appears to violate any applicable law or policy.

  • All firearm sales and transfers are final. Once a firearm is transferred to a customer, it cannot be returned.

  • If you are denied by NICS, you will still be responsible for the transfer fee and may incur a restocking or return shipping fee if the item must be returned to the sender.

Sale Item Policy

Sale Item Policy

All sale and promotional offers are valid in-store only while supplies last. Quantities are limited and available on a first-come, first-served basis.
 

  • No holds, rain checks, or price adjustments will be issued on sale items.

  • All marked sale items are final sale and not eligible for return or exchange.

  • Sale pricing cannot be combined with other discounts or promotions.

  • Some exclusions and restrictions may apply.
     

Hilltop Sports reserves the right to modify or cancel any promotion at any time without prior notice.

Shipping Policy

Shipping Policy

Hilltop Sports strives to process and ship all orders promptly and securely.
 

  • Orders typically ship within 1–5 business days from in-store inventory or warehouse stock

  • We use UPS, FedEx, or USPS, depending on item type and destination

  • Firearms will only be shipped to a licensed Federal Firearms License (FFL) dealer. Customers must provide FFL transfer information at the time of purchase.

  • Firearms and ammunition shipments will require an adult signature upon delivery

  • Customers are responsible for providing accurate shipping information. We are not responsible for delays or losses due to incorrect addresses

  • Tracking information will be provided when available


All shipments are subject to carrier terms and may be delayed due to weather, holidays, or other unforeseen factors.

Restricted Area Policy

Restricted Area Policy

For the safety, security, and insurance compliance of our facility, customers and non-staff individuals are not permitted in restricted areas without staff supervision.


Restricted areas include, but are not limited to:
 

  • The bow repair and tuning rooms

  • Behind the firearms counter, office area, and vault

  • The basement and storage areas

  • Any employee-only workspaces


Access to these areas is strictly limited to authorized personnel. Customers may only enter when escorted by a Hilltop Sports staff member.


This policy is in place to protect our customers, staff, merchandise, and comply with insurance and liability requirements. We appreciate your cooperation and understanding.

In-Store Behavior & Conduct Policy

In-Store Conduct Policy

Hilltop Sports is committed to providing a safe, respectful, and welcoming environment for all customers and staff. The following behaviors are strictly prohibited:
 

  • Harassment, intimidation, or abusive language

  • Unsafe handling of firearms or equipment

  • Tampering with merchandise or entering restricted areas without permission

  • Theft, fraud, or deceptive behavior of any kind


We reserve the right to refuse service or ask individuals to leave the premises for any behavior that violates these standards.

Concealed carry is welcome where permitted by law, but no loaded firearms are allowed to be handled inside the store unless by law enforcement or with staff approval.
